2.2 Vehicle & Shipping Data
- Vehicle registration number
- Vehicle details retrieved from the DVLA (make, model, year, colour, engine size, fuel type)
- Vehicle location postcode and GPS coordinates (used for port matching)
- VIN (Vehicle Identification Number), where provided
- Destination port and country
2.3 Consignee & Delivery Data
- Consignee full name, address, city, postcode, and country
- This information is used to generate customs and delivery documentation
2.4 Payment Data
- Payment is processed by Stripe. We do not store card numbers or CVV codes on our servers.
- We retain transaction references, amounts, and payment status for accounting and legal purposes.
2.5 Technical & Usage Data
- IP address, browser type, operating system
- Pages visited, time on site, referring URLs
- Cookie identifiers (see Section 9)

3. How We Use Your Personal Data

- Retrieve vehicle details from the DVLA on your behalf

- Customs brokers and in-country agents — to prepare import documentation and facilitate clearance at African destination ports

- DVLA — we send your vehicle registration number to the DVLA API to retrieve vehicle data on your behalf
- Cloud infrastructure providers — our platform is hosted on secure cloud infrastructure. Providers are bound by data processing agreements
- Professional advisors — solicitors, accountants, and insurers where legally required
- Law enforcement or regulators — where required by UK law, court order, or regulatory obligation (e.g., HMRC, UK Border Force)
We do not sell your personal data to third parties.
6. International Data Transfers
To deliver shipments to African destinations, we share relevant consignee and vehicle data with our in-country partner agents. These transfers are made under appropriate safeguards including:
- Standard Contractual Clauses (SCCs) approved by the UK ICO
- Data processing agreements with each partner agent
Payment data is processed by Stripe, which maintains EU-US and UK-US data transfer frameworks.
7. Data Retention
We retain your personal data for the following periods:
- Account data — for the duration of your account plus 7 years after closure (for legal and accounting purposes)
- Shipping and customs records — 7 years (required by HMRC and UK export law)
- Payment records — 7 years (Companies Act / HMRC)
- Contact form enquiries — 2 years from last contact
- Marketing consent records — 3 years from last interaction
After retention periods expire, data is securely deleted or anonymised.
